Quick Guide for Participating Vendors
Austin Farmers Market’s Preorder Program allows customers to shop from local vendors online and choose local delivery or market pickup at one of our Austin Farmers Market locations.
Austin Farmers Market currently offers:
- Local delivery on Tuesdays
- Local delivery on Thursdays
- Market pickup on Saturdays at the Manchaca UMC Market
- Market pickup on the 4th Sunday of the month at the Goodnight Ranch Market
Saturday market pickup at the Manchaca UMC Market is required for participation in the preorder program. Vendors may also choose to offer products for Tuesday delivery, Thursday delivery, Goodnight Ranch pickup, or any combination of available fulfillment options, as approved by AFM.
AFM coordinates the logistics so customers can enjoy a simple, convenient way to shop local.
Here’s everything you need to know to participate smoothly and stay compliant with Texas law.
How It Works:
Customers place orders through AustinFarmersMarket.com before Sunday at 11:59 PM.
Each week, product submissions are due by Friday at 12 PM Central Time for inclusion in the following week’s preorder window.
Updated product inventory numbers may be submitted each week by email and do not require a new form submission.
You receive a detailed order list on Monday morning, including customer names, ordered products, quantities, and selected fulfillment method.
You deliver only preordered, labeled items to Austin Farmers Market during the correct delivery window for each selected fulfillment option.
Vendor Delivery Windows:
- Tuesday orders: deliver to AFM at the Manchaca UMC Market between 10 AM–2 PM on Tuesday
- Thursday orders: deliver to AFM at the Manchaca UMC Market between 10 AM–2 PM on Thursday
- Saturday orders: deliver to AFM at the Manchaca UMC Market Saturday morning between 9 AM–10 AM, or another day/time if arranged in advance with AFM
- 4th Sunday orders: deliver to AFM at the Goodnight Ranch Market on the 4th Sunday morning between 9 AM–10 AM, or another day/time if arranged in advance with AFM

AFM receives and holds items on behalf of the customer, not for resale.
Customers receive their orders through:
- Local delivery on Tuesdays or Thursdays for a $10 delivery fee
- Saturday market pickup at the Manchaca UMC Market during market hours
- 4th Sunday market pickup at the Goodnight Ranch Market during market hours
Participation Requirements:
Saturday market pickup at the Manchaca UMC Market is required for participation in the preorder program.
All vendors in the preorder program must make their preorder products available for Saturday market pickup, unless otherwise approved by AFM.
Vendors may also choose to offer products for:
- Tuesday home delivery
- Thursday home delivery
- Goodnight Ranch 4th Sunday market pickup
- Any approved combination of the above
Product Availability Rules:
Fresh-made / short shelf life products
Fresh-made or short shelf life products may be offered on:
- Tuesday delivery
- Thursday delivery
- Saturday Manchaca UMC Market pickup
- 4th Sunday Goodnight Ranch Market pickup
- Multiple approved fulfillment days
If a fresh-made or short shelf life product is offered on multiple fulfillment days, it must be delivered on each selected fulfillment day unless otherwise discussed with AFM.
Examples may include:
- fresh bread
- pastries
- prepared foods
- other made-to-order or short shelf life items
Shelf-Stable, Refrigerated, and Frozen Products
Shelf-stable, refrigerated, and/or frozen products may be offered across multiple fulfillment days with one delivery per week, as approved by AFM.
Examples may include:
- packaged dry goods
- jarred items
- shelf-stable snacks
- refrigerated items
- frozen items
- other products that can safely remain available through multiple fulfillment days
Refrigerated and frozen items must be delivered in a manner that keeps them safe and properly stored.

Depending on the product, these items may require:
- Delivery on each selected fulfillment day, or
- Advance approval from AFM for multi-day availability
All refrigerated and frozen products must be properly packaged, labeled, and delivered at safe temperatures.
Your Responsibilities:
1. Weekly Product Updates
Submit your product listings and availability by Friday at 12 PM each week.
Updated product inventory numbers may be submitted each week by email and do not require a new form submission.
Clearly mark any Cottage Food, raw dairy, egg products, refrigerated products, frozen products, or products with short shelf life on your submission form.
2. Order Preparation
Pack and label each order with:
- Customer Name
- Vendor Name
- Product Name
- Any storage instructions (“Keep Refrigerated, Keep Frozen” etc.)
Only deliver products that have been preordered.
Do not deliver extra inventory for resale through the preorder program.
3. Delivery
Deliver orders during the correct time window for each fulfillment day:
- Tuesday: 10 AM–2 PM
- Thursday: 10 AM–2 PM
- Saturday Manchaca UMC Market pickup: 9 AM–10 AM, or another day/time if arranged in advance with AFM
- 4th Sunday Goodnight Ranch Market pickup: 9 AM–10 AM, or another day/time if arranged in advance with AFM
AFM will check in your items and organize them for customer delivery or pickup.
Late deliveries may affect customer experience and vendor payout timing.
4. Compliance
You remain the legal seller of your products.
AFM acts only as the customer’s authorized agent to receive and hold items until delivery or pickup.
You are responsible for following all laws and regulations that apply to your product type, including but not limited to::
- Texas Cottage Food Law (for home-prepared items)
- DSHS Raw Milk Permit (for raw dairy)
- Texas Egg Law (for ungraded or graded eggs)
- Health department requirements
- Labeling requirements
- Insurance requirements
- Any other applicable local, state, or federal requirements
Vendors represent and warrant that they possess all necessary licenses, permits, certifications, and insurance required to legally sell their products in Texas and shall provide proof of such documentation to AFM upon request.
All items must be properly labeled and packaged before delivery.
AFM may decline unlabeled, unsafe, or non-compliant products.
Payments:
AFM processes customer payments online and pays vendors after successful fulfillment.
A 20% service fee/markup is added to customer pricing to cover preorder, handling, pickup coordination, processing fees, and program operations.
Vendor payouts are made via Zelle, PayPal, or another agreed method.
Customer Experience:
Customers enjoy one simple way to shop local from multiple vendors.
They can choose:
- Tuesday home delivery for a $10 fee
- Thursday home delivery for a $10 fee
- Saturday market pickup at the Manchaca UMC Market - Free
- 4th Sunday market pickup at the Goodnight Ranch Market - Free
AFM handles order coordination and distribution so the process stays smooth and convenient.
Unclaimed orders are held for up to 72 hours, or per vendor direction, and then discarded or returned.
All customer purchases are final, no refunds.
Communication:
Weekly order summaries are emailed Monday morning.

Required Agreements:
Vendors must review and agree to be bound by the Hold Harmless Agreement, Preorder Pickup Program SOP, and Terms of Service before submitting products for the preorder program.
